White River Design offers retainer packages to select clients

CONGRATULATIONS!

You have joined a group of select clients who are on our retainer agreement. We limit this number every year to ensure that we can offer priority service to our retainer clients. It’s important for us to meet your expectations, so we have set out below what the retainer provides to you.

By engaging WRD to produce designs for you, you are agreeing to these terms and conditions.

We appreciate that these can sound scary – but they are industry standard and what any reputable business should have in place. We hope that this assures you that you are working with professionals. Thank you for your understanding.

UP TO 10 HRS DESIGN

Your monthly retainer will run from the date of your first payment. Payment is due in advance each month. During this period you will receive up to the quoted hours of design, branding, social media and consulting services. These services are offered at a reduced rate based on the number of months you have chosen for this contract.

DO THE HOURS ROLL OVER?

The service is for up to 10 hours a month. This means that hours will not roll over if not used.

HOW WILL I KNOW HOW MANY HOURS HAVE BEEN USED?

We will send you a weekly report of the time spent so that you are aware. It is then up to you whether you’d like to hold off on projects until the next month or if you’re happy to pay our reduced hourly rate to finish off projects within that billing month.

WHAT IF I NEED EXTRA HOURS?

Your special hourly rate is set at your retainer option pricing. Once a contract is signed it is deemed binding and invoices will be issued on a monthly basis, paid in advance. If you go over your contract hours, you will be notified and if you require extra hours, they will be at your special retainer rate and not our regular hourly rate. These will be time-sheeted and invoiced separately to your monthly invoice.

HOW IS WORK TRACKED?

We use a program called Toggl to track all of our design, developing and consulting work. Please be advised that telephone calls, emails, travel and any other correspondence are also recorded into the allocated 10hours.

PRIORITY SERVICE

Retainer clients enjoy priority service which means that we will respond to emails and phone calls within the day. Please be aware that we are a design studio that runs on deadlines. Some projects due to their nature will need to be completed before we move onto yours, however, yours will have priority over other waiting projects. For genuine tight deadlines you will enjoy a ‘down tools’service from our other jobs. However, we strongly recommend that you do not leave projects too late.

AFTER HOURS WORK

We pride ourselves on being a family friendly office and it’s important that our staff get home to spend time with their family. Our hours are 9am-5pm which we strictly adhere to. If you have left a project to the last minute and staff are required to stay back after 5pm to complete a deadline that is no fault of our own, we reserve the right to charge double time on your hourly rate overand above the 10 hour retainer.

EARLY TERMINATION

Agreements that are terminated prior to the completion of the contract will result in the remainder of the contract to be paid in full by the client.
